How Delivery Works and Our Policy

Valley Outdoor Supply delivers to Washington State addresses only. We are primarily a pickup-by-appointment building supply company, but we offer scheduled local delivery for select orders.

How Delivery Works

  1. Get a quote: send the delivery address and what you are ordering. We confirm availability and your delivery window.
  2. Reserve the delivery: pay the delivery fee in advance through our secure checkout (unless free delivery applies).
  3. Delivery day: drop-off is curbside or driveway only. Customer unloads. Product payment is due before materials are released.

Delivery Area and Scheduling

  • Washington State addresses only
  • King and Snohomish Counties: deliveries are scheduled within a single window of 10:00 AM to 2:00 PM
  • Onsite contact required: a responsible contact must be reachable by phone during the entire window
  • Ready to unload: equipment and labor must be ready upon arrival

If the site is not ready to accept delivery during the scheduled window (no contact, no unloading readiness, or unsafe access), the delivery may be treated as a failed delivery.

Delivery Fee Pricing

Our standard delivery fee is quoted using round-trip road mileage from our dispatch location to your site and back, billed at $3.00 per mile (recommended driving route at the time the quote is prepared).

Formula: Round-trip miles × $3.00 per mile

Example: 50 miles one way = 100 miles round trip = 100 × $3.00 = $300 delivery fee.

Free Delivery (Qualifying Orders)

Orders of $1,000 or more within 30 road miles one way may qualify for free delivery (standard delivery fee waived). Qualification is based on eligible merchandise subtotal (before tax and fees) and routing at the time of scheduling.

  • What is waived: the standard delivery service fee (trip charge) only
  • Not waived: additional trips (over 1 ton), redelivery, onsite waiting time, fuel surcharge, or other applicable service charges
  • Invoice tracking: the delivery fee may appear and be reduced to $0 using a delivery discount line for tracking

Payment, Dispatch, and Refunds

  • Prepayment required: delivery fees must be paid in full before dispatch (unless free delivery applies).
  • Dispatch definition: dispatch means the delivery vehicle has departed our yard for the delivery address.
  • Refund before dispatch: cancel before dispatch for a full refund of the delivery fee.
  • No refund after dispatch: once dispatched, the delivery fee is non-refundable.

Product Charges Are Separate

  • Product cost is billed separately from the delivery fee.
  • Product payment is due at pickup or onsite delivery and must be paid before materials are released, unless prior written terms have been approved by Valley Outdoor Supply.

Drop-Off Terms (Curbside or Driveway Only)

Delivery is curbside or driveway drop-off only. We provide transport to your site, but we do not unload materials, we do not provide unloading labor, and we do not place materials around the property.

Customer is responsible for unloading. Please have equipment and labor ready (for example: forklift, tractor with forks, skid steer, or adequate crew).

Safety Requirements (PPE)

Safety gear is required for anyone unloading materials. At minimum, unloaders must wear: work gloves, eye protection, and closed-toe footwear. Additional PPE may be required depending on equipment and site conditions.

If safe unloading conditions are not present, we may pause or end the delivery attempt at the driver’s discretion.

Onsite Waiting Time

If unloading is not ready when the driver arrives, onsite waiting time may be billed at $100 per hour (prorated in 15-minute increments), starting at the driver’s arrival time. Any onsite waiting charges are due upon invoice.

We may waive or reduce waiting time charges at our discretion (for example, short delays or a one-time courtesy).

Fuel Surcharge (When Applicable)

A fuel surcharge may apply based on current fuel costs or route distance. If a fuel surcharge applies, it will be quoted and disclosed in advance and shown as a separate line item.

  • Payment: due before dispatch
  • Refunds: refundable only if canceled before dispatch; non-refundable after dispatch
  • Discretion: we may waive or reduce a fuel surcharge at our discretion

Traffic and Route Time (When Applicable)

We schedule deliveries in the 10:00 AM to 2:00 PM window to avoid the heaviest traffic when possible. In some cases, heavy congestion or access delays can still extend route time. If a time-based overage is likely, it will be disclosed and quoted before dispatch.

If applied, route-time overage may be billed at $100 per hour (prorated in 15-minute increments). We may waive or reduce this at our discretion.

This is separate from onsite waiting time when unloading is not ready.

Weight Limit

Our delivery service is limited to 1 ton (2,000 lbs) per delivery trip. Orders over 1 ton may require multiple trips or alternate freight. Any additional trips are quoted separately.

Refused or Failed Delivery and Redelivery

If delivery is refused, nobody is available to accept delivery, unloading is not available, product payment is not completed, or the site is inaccessible or unsafe (blocked access, soft ground, steep grade, no safe unloading area, or other conditions preventing delivery), the delivery fee remains non-refundable once dispatched.

Any future delivery attempt requires a new delivery quote and prepayment.

After Drop-Off and Material Security

After drop-off is complete and delivery is accepted, the customer is responsible for securing and protecting the materials on site, including protection from theft, damage, and weather.

Responsibility and Risk

Because unloading is performed by the customer (and or their agents), the customer assumes responsibility for unloading activities, customer-provided equipment, and site safety. Valley Outdoor Supply is not responsible for injury, loss, or property damage arising from customer unloading, customer-provided equipment, or site conditions, except to the extent caused by our negligence or as otherwise required by law.

No Signature Required

No signature is required. Payment of the delivery fee and confirmation of the delivery schedule constitutes acknowledgement and acceptance of this Delivery Policy.

If We Are at Fault

If we deliver the wrong item, or damage product due to our handling or transport, we will correct it and we will not charge an additional delivery fee related to our error.
